This Privacy Policy explains how Foster Burgess, LLC (“Foster Burgess,” “we,” “us,” or “our”) handles information when you use nomaflow, including its website, voice journaling, and journal features (the “Service”).

Information we collect

Depending on how you use the Service, we may collect:

  • Account information: your name, email address, authentication details, and information provided by a social sign-in provider such as Google.
  • Phone and scheduling information: your phone number and verification status, time zone, and the days or times you choose for calls.
  • Journal information: text you enter, voice and audio from journal sessions, transcripts, recordings, summaries, titles, and related reflections or context generated for your journal.
  • Service and security information: information needed to keep your account and sessions working securely, such as session identifiers, device or browser details, and technical or error logs.
  • Support communications: information you include when you contact us.

How we use information

We use information to provide and operate your account; verify your phone number and place calls you schedule or request; receive voice or text journal entries; create transcripts, summaries, titles, and reflections; make journal context available to the AI journaling features you use; maintain, troubleshoot, and secure the Service; respond to support requests; and meet legal obligations.

AI and service providers

To provide the Service, information may be processed by providers working on our behalf. These include DigitalOcean and/or Amazon Web Services (AWS) for hosting, AWS for email, Telnyx for phone services, OpenAI and other AI services for voice interactions and processing journal content, and the social sign-in provider you choose. We may change or add providers as the Service develops.

Journal content sent to our AI providers is not used to train their models. Some AI providers may temporarily retain submitted information for up to 30 days to monitor for abuse. Their systems and deletion schedules are outside our direct control.

Phone calls travel over Telnyx and telephone carrier networks. Those networks may process the call audio, phone number, and call metadata, and are not under our control. Website voice sessions and journal content are sent to service providers for processing. Providers may process information in countries other than the one where you live, subject to their terms and privacy practices.

How we share information

We share information with the providers described above when needed to operate the Service. We may also disclose information when required by law or when reasonably necessary to protect users, the Service, or our rights. We do not sell personal data, and we do not use advertising or tracking cookies.

Cookies and essential storage

We use only cookies or browser storage needed for the core operation of the Service, such as authentication, maintaining a secure session, and protecting requests. We do not use cookies or browser storage for advertising or tracking unrelated to the Service.

Retention and deletion

We retain account and journal information while it is needed to provide the Service. Original audio recordings are retained so you can review them, and you may delete recordings and journal entries at your discretion. You may also request deletion of your account or other personal information by contacting us.

We delete information from active systems on the same day we receive a deletion request. Deleted information may remain in routine backups for up to 30 days. AI providers may retain some submitted information for up to 30 days for abuse monitoring, as described above.

Security

We use safeguards intended to protect information stored in our systems, and information sent between your browser and the Service is encrypted in transit. Telephone calls also pass through phone and carrier networks that we do not control, so we cannot guarantee the security or privacy of those networks. No online service or transmission method can be guaranteed to be completely secure.

Age and availability

The Service is for people who are at least 18 years old. Phone calling features are available only to users based in the United States or Canada.

Changes to this policy

We may update this Privacy Policy as the Service or our practices change. We will post the updated version here and revise the “Last updated” date. Continued use of the Service after an update means the updated policy applies, subject to any notice or consent required by law.
